How agencies work in Eventify

One Way Of Working For Every Client Event

The same six steps whether the client is a medical society, a software company or a charity gala.

Step 1

Clone the last edition

Copy an event with its settings, features and branding. Attendee data stays behind, so you start clean.

Step 2

Brand it for the client

Logo, colours, splash screen and app menu, the website on the client’s domain, or a white-label app.

Step 3

Hand out the right keys

Add colleagues, freelancers and client staff to the events they work on, with only the sections they need.

Step 4

Run the day on site

Check in on phones or kiosks, print and reprint badges, and push changes to every attendee at once.

Step 5

Report back to the client

Dashboards for check-ins, sessions, sponsors and networking, plus exports and survey results.

Step 6

Archive and repeat

Close the event by archiving it, then clone it for next year’s edition or a similar client.

Your Client’s Brand On Every Screen, Not Ours

Clients judge the agency by what their attendees see. Make every page and app look like theirs.

  • Event website builder with themes, agenda, speakers and registration.
  • Custom domain such as events.clientname.com, on selected plans.
  • Branded event app: logo, colours, splash screen and menu for each event.
  • White-label app add-on. The app goes into the App Store and Google Play under the client’s name; store review usually takes 8 to 14 days.
  • Embeds and languages. Tickets, forms and the agenda on the client’s own site, in more than one language.

Stop Rebuilding The Same Event For Every Client

What an agency’s week looks like before and after the client events move into one platform.

Tool per client
  • A new tool and a new login for each client
  • Registration forms rebuilt from scratch
  • Shared passwords for client teams
  • Reports pasted together from exports
One platform
  • Clone last year’s event in about 2 to 4 minutes
  • Website, registration, app and check-in together
  • Each person with their own login and permissions
  • Dashboards and exports ready for the client
Event day

Run Event Day Without Reprinting Everything

Venues change, names are misspelt and sessions move. Fix it on the spot, not in the next edition.

  • Check-in on any phone with the Eventify app, plus self check-in kiosks for busy doors.
  • Facial recognition check-in at a kiosk for fast, hands-free entry.
  • On-site badge printing with reprints when an attendee spots a typo.
  • Push notifications to every attendee when a room or time changes.
  • Live display screens for the agenda, announcements, sponsors and the leaderboard.
Sponsors and exhibitors

Give Your Clients’ Sponsors A Reason To Renew

Sponsor revenue often pays for the event. Show sponsors what they got, and they come back next year.

Lead scanning for every booth

Sponsor staff scan badges or business cards, add notes and a score, and export their leads.

Sponsored ads with proof

Ad placements in the app, with views, clicks and the attendees behind them for the sponsor report.

Booth sales on the floor map

Sell booths from the map, send invoices with a payment link and track booth orders in their own report.

Freelancers, Clients And Your Team, Each With Their Own Login

No more shared passwords. Everyone sees the events and sections they work on, and nothing else.

  • Admins per event. Give access to one client event or several from Account Settings.
  • Permissions by section: setup, branding, registration, tickets, content, engagement, analytics and settings.
  • Copy permissions from one admin to the next when the crew grows.
  • Require two-factor authentication for the admins on your account.
  • Budget planner with categories and line items to track each event’s costs.

FAQs

Event Agency Software, Answered

What is event management software for event agencies?
It is a platform that lets an agency, planner or production company run many client events from one account: the event website and registration, ticketing, the event app, onsite check-in and badges, sponsors and exhibitors, and reporting. Eventify adds the tools agencies need between projects, such as cloning an event, branding each one for its client and setting admin access per event.
Can I run events for several clients from one Eventify account?
Yes. Each client event is its own event in your account, with its own branding, registration, attendees and admins. You switch between events from the event menu, and you can give a colleague or a client contact access to only the events they work on.
Can I reuse an event setup for the next edition?
Yes. Cloning copies an event with its settings, the features you switched on and the branding, and leaves out everything attendees created, so the next edition starts clean. A clone takes about 2 to 4 minutes and counts toward your plan’s event limit. See how to clone an event.
Can the event app and website carry my client’s brand?
Yes. You set the logo, cover, colours, splash screen and app menu for each event, and the event website can run on the client’s own domain on selected plans. With the white-label add-on, the app is published in the App Store and Google Play under the client’s name; store review usually takes 8 to 14 days.
How do I control what freelancers and client staff can see?
Add them as admins on the events they work on, then tick the sections they may open, such as registration, tickets, content or analytics. Anything you switch off disappears from their menu. You can copy permissions from one admin to another and require two-factor authentication. See admin roles and permissions.
What onsite tools are included for event day?
Staff check attendees in with the Eventify app on any phone, and you can add self check-in kiosks and facial recognition check-in. Badges can be printed on site and reprinted when details change, and push notifications reach every attendee when a room or time moves. See the check-in app and badge printing.
How do I report results back to my client?
Eventify has dashboards for registrations, check-ins, sessions, networking, sponsors and exhibitors, plus survey and session rating results. Data can be exported to CSV or sent to other tools through Zapier, HubSpot or Salesforce. See event analytics.
How is Eventify priced for agencies?
Plans are available for a single event or annually for multiple events, and Engage and higher plans include unlimited admins. The white-label app is an add-on. See pricing or ask for a quote for your event calendar.
